Privacy Policy

1. Information we collect

• Account information: name, email address, and a hashed password when you sign up.
• Content you submit: video files, links, transcripts, or descriptions you provide to generate clips, along with the clips, captions, and metadata generated from them.
• Connected platform data: where you connect a social account for scheduling/publishing, the minimum authorization needed to post on your behalf.
• Billing information: handled directly by Stripe, our payment processor — we do not store full card numbers ourselves.
• Usage data: credit ledger entries, API request logs, and basic product analytics needed to operate and improve the Service.

2. How we use information

We use collected information to provide the Service (generating clips, captions, and scheduling), process payments, respond to support requests, secure accounts, and — only with your consent — send product updates or marketing communications.

Submitted video, audio, and transcript content is processed by the third-party AI services listed in section 2a solely to generate the output you request. In the app, nothing is sent to them until you allow it in the "Allow AI processing" prompt.

2a. Third-party AI services

OptimaClip uses these third-party AI services. Before any of your content is sent to them, the app shows you this list and asks for your permission; if you decline, nothing is sent and clip creation stays off until you allow it.

• AssemblyAI receives the audio track of videos you upload or link, to produce a transcript with word timestamps.
• Anthropic (Claude) receives transcripts, the prompts and chat messages you type (including in the in-app help and Studio assistants), and a small number of still frames from your video, to choose clip moments, write captions and titles, answer your questions, and locate the speaker on screen for Smart Reframe (see section 2b).
• Amazon Web Services (Amazon Rekognition) receives still frames from your video for automated content-safety checks (detecting prohibited content). It is not used for face recognition.
• OpenAI receives the text of a voice-over script you write, only when you use AI voice-over, to generate the audio.
• ElevenLabs receives the audio and video of a finished clip, only when you use AI dubbing, to produce a translated version.

These providers act as our service providers: they process your content only to return results to us, under terms that require them to protect it at least as well as this policy does. Your account email, name, and payment details are not sent to them. Anthropic and OpenAI do not use API content to train their models.

2b. Face data

What we collect:when Smart Reframe is used to turn a horizontal video into a vertical clip, a few still frames from that clip are analyzed to find the horizontal position (left and right edges, as a fraction of the frame width) of the main speaker's face, so the crop can follow them. We do not identify or recognize anyone, and we do not create face geometry, face templates, faceprints, or any other biometric identifiers.

How it is used and shared: the frames are sent to Anthropic (Claude) only to return those positions, and the positions are used only to frame your clip. Face data is not used for advertising, analytics, identification, or model training, and it is not sold or shared with anyone else.

Storage and retention: the extracted frames are temporary files deleted as soon as the analysis finishes. The only result kept is the list of crop positions, stored with that clip in our database (Neon, in the United States) so re-renders look the same. It is deleted when you delete the clip or your account, and the rendered clip files are deleted automatically after 30 days (see section 4).

3. Sharing

We share information with service providers who help us operate OptimaClip — hosting (Vercel), database (Neon), file storage (Cloudflare R2), payments (Stripe), and the AI services listed in section 2a — under agreements limiting their use of your data to providing services to us. Where you enable publishing to a connected social platform, the relevant clip content is shared with that platform per your instruction. We do not sell your personal information.

If we receive a copyright takedown notice or counter-notice concerning your account under our DMCA / Copyright Policy, we may share the notice (and, for a counter-notice, your contact information) with the other party, as the DMCA process requires.

3a. Affiliate program

If you join our Affiliate Program, we collect your name, email, the promotional details you provide, and the PayPal email or Venmo handle you give us for payouts, plus a legal name and country for tax reporting where required. We share your payout handle with PayPal or Venmo to send your commissions, and (for US affiliates paid $600 or more in a year) report earnings to the IRS on a Form 1099-NEC. If you were referred to OptimaClip by an affiliate, we record which affiliate referred you and the payments used to calculate their commission; we do not share your identity with the affiliate — they see only a masked email and the payment amounts.

3b. Creator program

We run a creator program through Trybe (jointrybe.com), where creators make videos about OptimaClip and earn commission on paid subscriptions they refer. If you arrive through a creator's link, we share the creator's link code, your landing and referring page and a random visitor id with Trybe, and later the amount and invoice id of each paid subscription charge tied to that visitor id, so Trybe can calculate and pay the creator. We do not share your name, email or payment details with Trybe or the creator. Creators who join the program are also subject to Trybe's own terms and privacy policy.

4. Data retention

We retain account and content data for as long as your account is active, or as needed to provide the Service, comply with legal obligations, and resolve disputes. Uploaded source videos and rendered clip files are deleted automatically 30 days after they are created (enforced from October 24, 2026). You can delete your account and its content at any time in the app (Settings > Delete account) or by contacting us.

5. Your choices

You can access and update most account information directly in your dashboard, disconnect connected social platforms at any time, and request account deletion or a copy of your data by contacting us.

6. Security

Passwords are stored using industry-standard hashing. API keys are stored as hashes, not plaintext. Access to production data is limited to what's needed to operate the Service. No method of transmission or storage is 100% secure, and we can't guarantee absolute security.

7. Children's privacy

OptimaClip is not directed to children under 16, and we do not knowingly collect their information.

8. Changes to this policy

We may update this policy from time to time; material changes will update the date above.
